Call for Candidates
The Quartz Hill Elementary PTSO General Election will occur Monday, April 27th immediately following the General Meeting (6pm).

The PTSO plays an important role in supporting our students, teachers, and school community through events, programs, and fundraising. With several areas with open positions for the upcoming school year, we are currently seeking community members who are interested in serving in one of the available positions.

No prior PTSO experience is required, just a willingness to help and work as part of a team. Please ensure you review the below descriptions coordinated with each open position. Some positions are monthly/ongoing commitments and others are one time coordinator positions.

Open Positions,Details & Overview
Board Positions
Co-Treasurer (2 Positions Available)
Estimated Volunteer Hours Monthly: Approx. 10-20 hours depending on "season" (tax, fundraising, events can cause additional time spent)

Manages PTSO Finances

Tracks income/expenses/reimbursements

Prepares financial reporting within a timely manner

Completes taxes and other documentations
Secretary (1 Position Available)
Estimated Volunteer Hours Monthly: Approx 5-8 hours

Records meeting minutes from general & board meetings

Maintains official records

Monitors general email box

Management of general communication flyers and distribution

Support Roles
BINGO Coordinator (can be a "co" position if multiple parties are interested)
Estimated Volunteer Hours: Approx 30 hours total between planning, coordination, set up, and night of event.

Project Manager for the coordination and deployment of the yearly BINGO event including food, supplies, volunteers, prizes, set up, etc.

Work with PTSO Board to plan event logistics, supplies, and pricing

Track expenses and stay within allotted budget
Dads, Moms, and Family Fun Event Coordinator (3 Positions Available, but can also be a combined role if interested as events are spaced throughout year)
Estimated Volunteer Hours: Approx 4-6 hours total (each event) between planning, coordination, set up, and day of event.

Coordinates and oversees family engagement events such as Donuts with Dads, Muffins with Moms, and similar gatherings

Project Manager for event logistics including food, supplies, volunteers and setup

Ensures events run smoothly and provide a welcoming experience for families
Recharge Station Coordinator (1–2 Positions Available)
Estimated Volunteer Hours Monthly: Approx 3-5 hours depending on event schedule (additional time may be needed for larger luncheons or special weeks)

Plans and coordinates monthly/quarterly teacher luncheons, snack breaks, etc.

Works with the PTSO board to schedule and organize events throughout the school year

Orders, prepares, or arranges donations for food, drinks, and supplies, ensuring all items stay within budget

Recruits and organizes volunteers to assist during, as needed
Teacher Appreciation Week Coordinator (can be a "co" position if multiple parties are interested)
Estimated Volunteer Hours: Approx 10-20 hours between theme planning, coordination, goods/donation needs, set up and tear down.

Plans and coordinates Teacher Appreciation Week, including daily themes and specific gifts, treats, or activities for each day

Works with the PTSO board to ensure all items stay within financial limits

Recruits and coordinates volunteers to help set up, execute, and clean up each day’s activities

Communicates with school staff to ensure events are well-received and meet their needs
Co-Spirit Gear Coordinator (1 position available)
Estimated Volunteer Hours Monthly: Approx 5–10 hours depending on order cycles and distribution needs

Coordinates the sale, ordering, and distribution of school spirit gear such as t-shirts, hoodies, and other merchandise

Works with the PTSO board to select designs, manage orders, and track inventory

Audits inventory regularly, manages bulk orders, and ensures availability of items for students and families

Organizes and manages distribution, including being present at school throughout the week as needed

Handles communications with vendors, tracks payments, and ensures all items stay within budget
-
Work alongside the current coordinator to learn processes and best practices, preparing to take over the role in future years

Social Media Coordinator (1 Position Available)
Estimated Volunteer Hours Monthly: Approx 4–6 hours depending on upcoming events, communications and posting frequency

Manages and maintains the PTSO social media pages (Facebook, Instagram, etc.) to keep the school community informed

Creates, schedules, and posts content about events, fundraisers, volunteer opportunities, and school news

Works with the PTSO board and event coordinators to gather information, photos, and updates for posts

Monitors engagement, responds to community questions, and ensures posts reflect the school and PTSO positively
-
Follows PTSO branding guidelines and privacy rules when posting content
